Privacy Policy

Last updated: 1 March 2026

1. About this policy

Olareno Letters is an independent editorial publication focused on everyday wellness practices. The publication is not affiliated with any commercial, governmental, or institutional body.

This Privacy Policy explains how Olareno Letters ("we", "us", "our") collects, uses, stores, and protects personal data when you visit this website. It applies to all visitors to olareno.info and to anyone who contacts us directly.

This policy is written in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The data controller is Olareno Letters, 67 Sebastian Street

2. What data we collect

We collect the following categories of personal data, depending on how you interact with the site:

Contact form submissions
Name, email address, subject, and message content when you use the contact form on this site. This data is used solely to respond to your enquiry.
Usage and analytics data
Anonymised data about pages visited, time on site, browser type, and approximate geographic region, collected via analytics cookies where consent is given. No personally identifiable information is linked to analytics data.
Server log data
IP address, date and time of access, pages requested, and HTTP status codes, retained automatically by the hosting infrastructure for up to 30 days for security and error monitoring purposes.

3. Legal basis for handling data

We handle personal data under the following legal bases as defined under UK GDPR Article 6:

  • Legitimate interests — for server log data retained for security purposes and for responding to correspondence sent to us.
  • Consent — for analytics cookies placed on your device. You may withdraw consent at any time by adjusting your cookie preferences using the Cookie Settings link in the site footer.

4. How we use your data

Personal data collected through the contact form is used exclusively to respond to your enquiry. It is not used for marketing, passed to third parties, or retained for longer than necessary to complete the correspondence.

Analytics data is used in aggregate, anonymised form to understand how the publication is read — which articles receive sustained attention, which navigation paths are most common — so that editorial decisions can be informed by reader behaviour without identifying individuals.

5. Data retention

Contact form correspondence is retained for up to six months from the date of the final reply, then permanently deleted. If the correspondence relates to a contribution or a published correction, the retention period is extended to two years from publication.

Server log data is retained for a maximum of 30 days. Analytics data (where consent is given) is retained in anonymised aggregate form indefinitely as it contains no personally identifiable information.

6. Third-party services

This site embeds a Google Maps iframe on the contact page to display the editorial office location. The Google Maps service may set its own cookies and collect usage data in accordance with Google's privacy policy. We recommend reviewing Google's privacy documentation if you have concerns about this.

This site loads fonts and library assets from third-party CDN providers (Fontshare, jsDelivr, unpkg, Google Fonts, Cloudflare). These providers may log your IP address as part of their standard infrastructure. No personal data is shared by us with these providers.

7. Your rights

Under UK GDPR, you have the following rights in relation to personal data we hold about you:

  • Right of access — to request a copy of personal data we hold about you.
  • Right to rectification — to request correction of inaccurate personal data.
  • Right to erasure — to request deletion of your personal data where it is no longer necessary for the purpose for which it was collected.
  • Right to object — to object to our handling of your data where we rely on legitimate interests as the legal basis.
  • Right to withdraw consent — for analytics cookies, at any time, by using the Cookie Settings link in the footer.

To exercise any of these rights, contact us at [email protected]. We will respond within one calendar month of receiving your request.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you believe your data has been handled unlawfully. The ICO can be reached at ico.org.uk.

8. Changes to this policy

This policy may be updated from time to time to reflect changes in our data handling practices or in applicable law. The date at the top of this page reflects the date of the most recent revision. Continued use of the site following an update constitutes acceptance of the revised policy.
